Scope & Purpose
This SMS/MMS Privacy Policy describes how It’s All Connected Performance and Wellness (“we,” “our,” or “the Practice”) collects, uses, and protects the mobile phone number and related information you provide when consenting to receive text messages from us.
All SMS and MMS communications sent by this Practice are strictly administrative and operational in nature. We do not use text messaging for marketing, promotional campaigns, or solicitation of any kind. Messages are limited to supporting the continuity of your care and the smooth operation of our office.
Types of Messages We Send
- Appointment Management — Scheduling confirmations, reminders, cancellations, and rescheduling requests.
- Billing & Administrative Notices — Balance reminders, payment confirmations, insurance-related updates, and requests for outstanding documentation.
- Document Requests — Requests for intake forms, referral authorizations, imaging records, or other clinical documentation needed to support your care.
- Secure Links & Attachments — Delivery of secure links to patient forms, health portals, or protected documents; and MMS images where clinically appropriate (e.g., diagrams, intake instructions).
- Operational Updates — Office closures, provider availability changes, or time-sensitive notices directly relevant to your scheduled care.
Consent & Opt-In
Your consent to receive SMS/MMS messages is voluntary. You provide consent by completing and signing our patient intake form — either in paper format at our office or through our digital intake process — and indicating your agreement to receive text communications.
By providing your mobile phone number and initialing or checking the SMS consent field on the intake form, you confirm:
- You are the account holder or have authorization to use the mobile number provided.
- You agree to receive non-promotional, administrative text messages from It’s All Connected Performance and Wellness at that number.
- You understand that consent is not a condition of receiving chiropractic care.
Opting Out
- Reply STOP to any text message we send you. You will receive a single confirmation message and no further texts will be sent.
- Contact our front desk by phone or in person to request removal from our messaging list.
- Submit a written request to the address or email listed in the Contact section of this policy.
Opt-out requests will be processed promptly, typically within one business day. Please note that opting out of SMS communications does not cancel appointments or waive any outstanding financial obligations.

Data Use & Protection
- Stored Information: Mobile number, opt-in date & method, opt-out record
- Retention: Retained for the duration of the patient relationship plus applicable legal minimums
- Access Controls: Limited to authorized staff with a legitimate clinical or administrative need
- Safeguards: Encrypted transmission; secure storage consistent with HIPAA requirements
Information Sharing
We do not sell, rent, lease, or otherwise transfer your mobile phone number or messaging data to third parties for their own marketing purposes.
Your information may be shared only in the following limited circumstances:
- SMS/MMS platform providers — We use reputable, HIPAA-compliant third-party messaging platforms to transmit text messages on our behalf. These vendors are bound by data processing agreements and are prohibited from using your data for any purpose other than message delivery.
- Legal obligations — We may disclose information if required to do so by applicable law, court order, or governmental authority.
- Your authorization — With your explicit written consent for any other purpose not described herein.
HIPAA Considerations
It’s All Connected Performance and Wellness is a HIPAA-covered entity. All SMS and MMS communications are conducted in a manner consistent with our obligations under the Health Insurance Portability and Accountability Act (HIPAA) and its implementing regulations.
Standard SMS text messaging is not inherently encrypted and does not constitute a fully secure channel. We therefore observe the following practices:
- Appointment reminders and administrative messages are limited to the minimum necessary information.
- Messages will not include clinical diagnoses, treatment notes, medication details, or other sensitive PHI in plain text.
- Documents or information requiring secure transmission will be delivered as authenticated links through a HIPAA-compliant portal.
- Your acknowledgment at intake constitutes your confirmation that you understand and accept the inherent limitations of SMS as a communication channel.
Message Frequency & Carrier Costs
Message frequency will vary based on your scheduled appointments and administrative needs. Most patients receive between one and four messages per appointment cycle (e.g., confirmation, reminder, follow-up documentation request).
We do not charge for text messages. However, standard message and data rates may apply depending on your mobile carrier plan. Please consult your carrier for details regarding any applicable fees.
Minors
Our SMS/MMS program is intended for adult patients and authorized adult representatives (e.g., parents or legal guardians of minor patients). We do not knowingly enroll individuals under the age of 18 in our messaging program without the consent of a parent or legal guardian.
If you are consenting to receive messages on behalf of a minor patient in your care, you represent that you are the parent or legal guardian of that minor and are authorized to provide such consent.
Changes to This Policy
We reserve the right to update or modify this SMS/MMS Privacy Policy at any time. When changes are made, we will update the “Last Updated” date at the top of this page.
Material changes that affect how we use your information will be communicated to you via text message prior to taking effect, or by other appropriate means. Continued receipt of text messages from us following notice of a material change constitutes your acceptance of the revised policy.
We encourage you to review this policy periodically. The current version is always available on our website and at our front desk upon request.
